Vice Chair of the University Union Advisory Board (UUAB) Responsibility Guide

ASI Student Government members are elected or appointed to serve as representatives and advocates for the Cal Poly student body. The corporate responsibilities of Student Government members are defined within the ASI Bylaws. This responsibility guide provides an overview of the key duties and expectations for the Vice Chair of the University Union Advisory Board (UUAB). Specific responsibilities and levels of involvement may vary throughout the term of office.
Vice Chair of the University Union Advisory Board
The Vice Chair of the UUAB is a voting member of the UUAB, appointed by the Chair of the UUAB to support the efficient operation of the UUAB and its subcommittees. Specific to the provisions of applicable law and the UUAB Operation Code, the UUAB, under the administration of the Chair of the UUAB, shall serve as the official advisory board to the ASI Executive Director and the university president regarding the Student Body Center Fee as it relates to ASI-managed facilities and programs. Refer to the University Union Advisory Board Operation Code for specific information regarding the operation of the UUAB.
The Vice Chair of the UUAB holds an active and engaged role within the organization and across the university. This position requires a weekly time commitment of approximately 15–25 hours, which may include occasional evenings, weekends, and optional travel. While summer involvement is not required, in-person participation is encouraged. The Vice Chair of the UUAB will be provided with asynchronous training and engagement opportunities and invited to participate in ASI Leadership Team meetings and trainings during the summer term.
Responsibilities to the University Union Advisory Board
- Serve as a voting member of the UUAB.
- Serve as Parliamentarian for theUUAB.
- Ensure compliance with the meeting notice requirements of the Gloria Romero Open Meetings Act.
- Maintain communication between the Chair of the UUAB, members of the UUAB, and UUAB ad hoc committees.
- Provide oversight of UUAB ad hoc committees by developing and reviewing guidelines.
- Facilitate UUAB Workshops.
- Perform the duties of the Chair of the UUAB in their absence, at the direction of the Chair of the UUAB.
- Assist the Chair of the UUAB in staying apprised of all ad hoc Subcommittee and ASI Standing Committee actions.
- Serve as interim Chair of the UUAB if the Chair of the UUAB should resign or otherwise become unable to perform the functions of the office as determined by the UUAB in the UUAB Operation Code, until such time as the Chair of the UUAB is able to resume the functions of the office.
Committee Responsibilities
- Serve as a Co-Chair of the ASI/UU Internal Review Committee.
- Serve as Chair of the ASI Art Committee.
- Serve on ASI internal committees, Cal Poly committees, or other community committees as requested.
Summary of Typical Involvement
- Meet regularly with the ASI Leadership Team, Chair of the UUAB, UUAB members, and the UUAB Advisor to ensure alignment of goals and initiatives.
- Regularly engage with students to gather feedback, promote transparency, and strengthen engagement across the university.
- Participate in organizational strategic planning and assessment processes, contributing to the development, execution, and evaluation of ASI’s strategic initiatives and goals.
- Collaborate with the ASI Leadership Team and ASI staff to ensure the efficacy of all training programs and professional development activities within ASI Student Government.
Mandated Reporter
The Vice Chair of the UUAB is considered a mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI Policy as a condition of their volunteer assignment.
Conflict of Interest
It is a conflict of interest for ASI to employ members of ASI Student Government and require those individuals to have the responsibility of governing and making decisions regarding the organization by which they are employed. Because of this conflict, it is necessary to separate the roles by not allowing a student to simultaneously hold a position in ASI Student Government and be employed by ASI.
Term of Office
The ordinary term of office for ASI Student Government members shall be one year, commencing on the day after the close of spring term and ending on the last day of the following spring term.
Professional Development/Mentoring
Professional development/mentoring to the Vice Chair of the UUAB will be provided by the ASI Executive Director or designee. As a mentor, the ASI Executive Director will provide constructive feedback and guidance on a regular basis to assist the Vice Chair of the UUAB in their personal and professional development.
Qualifications for Office
During their term of office, the Vice Chair of the UUAB must maintain compliance with all CSU and ASI requirements as outlined in the ASI Bylaws.
Scholarship
The Vice Chair of the UUAB receives a scholarship each academic term during their term of office equal to 25% of the cost of education, as well as priority registration and ASI vehicle privileges, if eligible.
