Chair of the ASI Maritime Academy Council (AMAC) Responsibility Guide

ASI Student Government members are elected or appointed to serve as representatives and advocates for the Cal Poly student body. The corporate responsibilities of Student Government members are defined within the ASI Bylaws. This responsibility guide provides an overview of the key duties and expectations for the Chair of the ASI Maritime Academy Council (AMAC). Specific responsibilities and levels of involvement may vary throughout the term of office.

Chair of the ASI Maritime Academy Council

The Chair of the AMAC is elected by the student body enrolled in the Cal Poly Maritime Academy and is responsible for providing leadership, support, and guidance to the AMAC. The Chair of the AMAC will act as the official representative and host of the ASI to the Cal Poly Maritime Academy administration and the general public on matters related to that campus if the ASI President is not present. The ASI President remains the primary representative of ASI and shall consult with and defer to the Chair of the AMAC on matters primarily impacting the Cal Poly Solano campus.

Under the direction of the Chair of the AMAC, members of the AMAC carry out their respective duties to represent, serve, and address the needs of students at the Cal Poly Maritime Academy . They provide recommendations on student issues relating to the Cal Poly Solano campus and coordinate special events and projects that advance the organization’s mission.

The Chair of the AMAC holds an active and engaged role within the organization and across the university. This position requires a weekly time commitment of approximately 20–25 hours, which may include occasional evenings, weekends, and optional travel. While summer involvement is not required, in-person participation is encouraged. The Chair of the AMAC will be provided with asynchronous training and engagement opportunities and invited to participate in ASI Leadership Team meetings and training during the summer term.

Corporate Responsibilities

  • Serve as a non-voting representative to the ASI Board of Directors.

Officer Responsibilities

  • Provide input regarding the corporate operations and student advocacy of ASI as appropriate.
  • Participate in the performance evaluation of the ASI Executive Director.
  • Appoint a liaison to the University Union Advisory Board.
  • Represent the Cal Poly Maritime Academy student input in ASI operational or shared governance decision-making.
  • Promote unity and solidarity across all students of the Cal Poly Maritime Academy.
  • Serve as student point of contact for Cal Poly Solano campus-specific matters.
  • Address the student body at special meetings and events.

ASI Maritime Academy Council Responsibilities

  • Provide general oversight of the Vice Chair of the AMAC.
  • Appoint the AMAC Councilmembers and liaisons.
  • Ensure compliance with the meeting notice requirements of the Gloria Romero Open Meetings Act.
  • Recommend Solano student representatives on ASI internal Standing Committees to the Chair of the ASI Board of Directors.
  • Implement events, initiatives, or programs that support the students of the CalPoly MaritimeAcademy.
  • Provide direct oversightof the AMACin day-to-day activities, projects,and initiatives.
  • Facilitate regular AMAC meetings.
  • Other responsibilities as directed by the ASI Board of Directors.

Committee Responsibilities

  • Serve asa voting member of the ASI Business and FinanceCommittee.
  • Serve on ASI internal Standing and ad hoc committees as appointed by the Chair of theASI Board of Directors.
  • Serve on universitywide and/or Academic Senate committees as appointed by the ASI President.

Summary of Typical Involvement

  • Meet regularly with theASI Executive Director,ASI Officers, ASILeadership Team, AMAC members, and the AMACAdvisor to ensure alignment of goals and initiatives.
  • Meet regularly with university administrators, including the Vice President and CEO and the Superintendent of the Cal Poly Solano campus, to support collaboration and uphold the principles of shared governance, as well as with other university leaders as needed.
  • Regularly engage with students to gather feedback, promote transparency, and strengthen engagement across the university.
  • Participate in organizational strategic planning and assessment processes, contributing to the development, execution, and evaluation of ASI’s strategic initiatives and goals.
  • Collaborate with the ASI Leadership Team and ASI staff to ensure the efficacy of all training programs and professional development activities within ASI Student Government.

Mandated Reporter

The Chair of the AMACis considered a mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI Policy asa condition of their volunteer assignment.

Conflict of Interest

It is a conflict of interest for ASI to employ members of ASI Student Government and require those individuals to have the responsibility of governing and making decisions regarding the organization by which they are employed. Because of this conflict, it is necessary to separate the roles by not allowing a student to simultaneously hold a position in ASI Student Government and be employed by ASI.

Term of Office

The ordinary term of office for ASI Student Government members shall be one year, commencing on the day after the close of spring term and ending on the last day of the following spring term.

Professional Development/Mentoring:

Professional development/mentoring to theChair of the AMAC will be provided by the ASI ExecutiveDirector or Designee. As a mentor, the ASI Executive Director or Designee will provide constructive feedback and guidance on a regular basis to assist theChair of the AMAC in their personal and professional development.

Qualifications for Office

During their term of office, the Chair of the AMAC must maintain compliance with all CSU and ASI requirements as outlined in the ASIBylaws.

Scholarship and Support Resources

The Chair of the AMAC receives a scholarship each academic term during their term of office equal

to 100% of the cost of tuition, as well as priority registration and ASI vehicle privileges, if eligible. Refer to the ASI Student Leader Scholarships Policy for additional information regarding eligibility terms, scholarship details, and the availability of summer scholarships.
